What is the 'Quick P&L View' Report

A breakdown on the newly release Quick P&L View report.

This report provides a quick, single-job financial summary, giving immediate visibility of both quoted and actual profitability for a specific job.

It is primarily used to compare expected vs actual performance, helping you quickly assess whether a job is delivering the margin that was originally anticipated.

Understanding the Financial Metrics

The Quick P&L View brings together key financial figures for a job in one place:

  • Total Quoted Cost – The estimated cost of completing the job

  • Total Quoted Price – The price quoted to the customer

  • Actual Job Cost – The real cost incurred while delivering the job

  • Total Invoice Cost – The cost associated with what has been invoiced

  • Total Invoice Price – The total value invoiced to the customer

These values allow you to directly compare planned vs actual performance without needing to cross-reference multiple reports.

Column Breakdown (From the Report)

Each column in the report is calculated using the underlying task and part code values, as shown in the report:

Total Quoted Cost

  • Definition: The total estimated cost of the job at quote stage

  • How it is calculated:
Sum of all quoted task costs + quoted part code costs (pre-VAT)

  • Purpose:
Represents the planned internal cost before work begins

Total Quoted Price

  • Definition: The total price quoted to the customer

  • How it is calculated:
Sum of all quoted task prices + quoted part code prices (pre-VAT)

  • Purpose:
Shows the expected revenue from the job

Actual Job Cost

  • Definition: The true cost of delivering the job

  • How it is calculated:
Sum of all actual task costs + part code costs on the job (pre-VAT)

  • Purpose:
Reflects real operational spend and resource usage

Total Invoice Cost

  • Definition: The cost tied specifically to invoiced work

  • How it is calculated:
Sum of all invoiced task costs + invoiced part code costs (pre-VAT)

  • Purpose:
Tracks cost associated only with what has actually been billed

Total Invoice Price

  • Definition: The total invoiced amount to the customer

  • How it is calculated:
Sum of all invoiced task prices + invoiced part code prices (pre-VAT)

  • Purpose:
    Represents actual recognised revenue

How the Report Works

Job Lookup

  • The report is generated using a single Job Number input

  • No date range or additional filters are required

  • Once a valid job number is entered, the report returns a single result

This streamlined approach makes it ideal for quick checks during reviews, queries, or financial analysis.

What’s Included in the Report

  • The report displays one row per job

  • The row contains all five key financial values:

    • Total Quoted Cost

    • Total Quoted Price

    • Actual Job Cost

    • Total Invoice Cost

    • Total Invoice Price

  • All values are displayed as currency (pre-VAT) ensuring consistency and clarity.

Profit Calculations

Two profit perspectives are shown directly beneath the main data:

Quoted Profit

  • Formula:
Quoted Profit = Total Quoted Price – Total Quoted Cost

  • Quoted Profit Margin:
Quoted Profit ÷ Total Quoted Price

  • Meaning:
Reflects the expected profitability at the time of quoting

Actual Profit

  • Formula:
Actual Profit = Total Invoice Price – Actual Job Cost

  • Actual Profit Margin:
Actual Profit ÷ Total Invoice Price

  • Meaning:
Shows the real-world profitability based on delivered and invoiced work

Filters Available

  • There are no filters in this report

  • Only a Job Number input field is required

This ensures the report remains focused, fast, and easy to use for single-job analysis.
